1.1 What is GreekBill and how long have you been in business?

GreekBill is a secure web-based billing service catering exclusively to the Greek Community since 1996. Through the use of our billing and collection portals along with our customer service, GreekBill has reached an overall collection percentage of 98.2% for the chapters we service.

1.2 What are the benefits of using GreekBill?

GreekBillís services give your chapter a sound financial structure and increased organization. We offer online reporting, electronic contracts, budgeting tools, online payment options and quality customer service. Our product allows your chapter to work in a more efficient and professional manner. Treasurers can add charges, adjust balances, monitor the chapterís financial status and edit member and chapter information from their secure chapter portal. If additional help or troubleshooting is needed, a chapter representative or member support representative is a call or email away.

In addition, by removing the job of collecting from friends and fellow housemates the treasurer is not negatively viewed in the house. Collecting from friends can prove to be a very difficult situation that ends up leaving the house with unnecessary outstanding balances. GreekBill eliminates this pressure by doing the billing and collecting for you and your chapter.

1.4 What is your service record?

Since 1996, GreekBill has had an average collection rate of 98.2% for the chapters we service. We continually measure our performance to make sure we are meeting the standards of all our chapters.

1.5 What are the benefits of being internet based?

GreekBill is completely internet based which allows you to check your account anytime and anywhere by simply logging in through the website. Each of your members will be able to access their account and make payments 24 hours a day, 7 days a week. In addition, your chapterís treasurer and/or executive board will be able to view your chapterís complete financial status 24 hours a day, 7 days a week. No matter where you are: school, work or home, you have access to your GreekBill account.

1.6 With such a high turn over rate in members, is it easy to use the system?

The GreekBill system was created with a high turnover rate in mind. Our user-friendly site allows treasurers to make the necessary adjustments online or with the help of their assigned GreekBill chapter representative.

The system works in real-time, so you can always view up-to-date information on every memberís status and balance due. This allows for quick and easy adjustments to member status and account information.

1.7 Does GreekBill work better for a particular size of chapter?

GreekBill caters to chapters of all sizes by offering our Full Service and Lite Service options.

GreekBill was founded on our Full Service approach to the billing and collection process. Our philosophy has been to listen to our customers, innovate on their behalf and deliver the solutions they demand. With this in mind our Full Service not only offers online services and customer support but also offers customized contracts, alumni donation pages, budgeting services and an extensive collection process. In addition, one of the main benefits of the Full Service is the handling of all billing questions and calls allowing the treasurer more time to focus on budgeting rather than collecting.

For our smaller chapters and colonies we created GreekBill Lite. It is ideally suited for chapters that typically do not have members living in a Fraternity or Sorority house. It helps small to mid-sized chapters organize their finances, give their members multiple payment options and enhance their financial reporting capabilities.

2.1 How do we set up our chapter?

2.2 What are the costs associated with using GreekBill?

The cost of using GreekBill depends on the service you choose. GreekBill Lite is a flat fee per semester while the Full Service is a percentage based on your chapterís budget. Visit our Get a Quote page to request a rate quote.

2.3 What should I expect during the implementation process?

The implementation process consists mainly of gathering member information and working with your chapter representative to set up a customized billing schedule. It is a simple process the treasurer is led through step by step with his/her assigned chapter representative.

2.4 What information will you need to start our account?

Once your chapter has decided to use GreekBill your chapter representative will contact you and let you know specifically what is needed from your chapter. However, the basics include a signed contract, the names of all active and inactive members, as well as their billing addresses, phone numbers, email addresses, and balances (both past due and current). From there you will work with your chapter representative to set up billing cycles, due dates, payment plans, and anything else your chapter would like to do.

2.5 Is there someone that can train me to use the system?

Each chapter will be assigned a chapter representative who will walk you through an initial training but also provide you with a video training of the system. In addition, the chapter representative will train all incoming treasurers and is available to answer any and all questions regarding the account.

3.1 How quickly can bills go out after setup?

The turnaround time is typically 48-72 hours after we have received all necessary information and set the billing cycle and due dates.

3.2 Do you offer real-time reporting?

From the chapter portal, the account administrators designated by the Treasurer can view complete financial status 24 hours a day, 7 days a week. These reports can be downloaded into a variety of formats to be used in excel, QuickBooks or attached in an email.

3.3 Can our chapter bill monthly or once a term?

Your chapter will get up to 12 bills per year in either service. The Full Service provides both paper and electronic billing while our Lite Service is electronic only. Members have the ability to set a preference for their bill type.

3.4 What happens if someone is billed incorrectly?

Account adjustments are made online by the treasurer or by calling/emailing your chapter representative. All accounts can be easily adjusted at any time.

3.5 How do we receive our money?

GreekBill direct deposits funds collected into the chapterís bank account weekly. These deposits allow chapters to have complete control of their funds and keep an organized record of when they received deposits from GreekBill.

3.6 Do you have an assigned chapter representative or do I just call into the office and assume anyone can assist me?

Every chapter representative in the office is trained on the system and can answer most questions; however you will be assigned your own chapter representative for more specific issues. The benefit of having an individual chapter representative is that he or she will know all the details on your account allowing for better customer service and faster answers and results.

3.7 How do members make payments?

Members can choose from a variety of payment methods, including Credit Card, Electronic Check (Automatic Draft from a checking account), Check, Money Order, and Electronic Wire. Debit cards can also be used as long as they have a Visa or MasterCard logo on them. Credit Card and Electronic Check payments can be made online 24 hours a day, 7 days a week. GreekBillís website is secure for online payments; the security verification information is available at the bottom of our homepage. Members can pay by phone Monday through Friday, 7:00am to 5:00pm PST by calling the GreekBill office. Members can also mail a check to GreekBill or give a check directly to the treasurer. Additionally, members on payment plans can have Credit Card or Electronic Check payments processed automatically on the scheduled due dates. These options allow members a tremendous amount of flexibility which in turn leads to a higher collection rate.

3.8 Do you offer collection services?

GreekBill offers an extensive collection service to both our Full Service and Lite Service chapters. Fees vary depending on which service your chapter is using. In order to take members to collections it is always best to have their most updated contact information available.
